2. What we collect and why
| Who | What we collect | Why, and our lawful basis |
|---|---|---|
| Website visitors | Technical data our host receives, such as IP address, browser and pages requested. Visit counts from cookie-free analytics, if enabled. Your browser also requests our fonts from Google Fonts, which receives your IP address. | To deliver and secure the site and understand which pages are useful. Legitimate interests. |
| People who enquire | What you send us through our form, by email or phone: name, business name, trade, area, phone, email, current website and your message. When you use our form, we also record how you reached our website (for example a Google search, a Facebook link or typing the address), worked out from the web address and the page you came from. Nothing is stored on your device to do this. | To reply and recommend a package. Steps before a contract, or legitimate interests. |
| Trade businesses we contact | Business name, trade, the business phone number, email and website address published for customers, and publicly available information about the business's online presence. | To contact businesses that may benefit from our services. Legitimate interests. We check numbers against the Telephone Preference Service where required and stop contacting you as soon as you ask. |
| Customers | Contact details, signed agreement, questionnaire answers, logos, photos and business information, payment and invoice records, and access granted to accounts such as your domain or Google Business Profile. | To build, host and support your website and keep accounts. Contract, and legal obligation for financial records. |
For customers' own websites, the enquiries their customers send through those sites are handled for the customer under our agreement with them. In that role we act as a processor on the customer's instructions.
3. Who we share it with
We use trusted providers to run the business, and they handle data on our behalf: Cloudflare (website hosting, security and analytics), Web3Forms (delivering form messages to our inbox), Google Workspace (email and file storage), Higgsfield (AI image and video tools we use to make Premium 3D films and illustrations from customers' photos), Anthropic (Claude, an AI assistant we use to draft website wording and documents from the details customers send us), DocuSign (signing agreements) and our payment providers, including Whop (monthly subscriptions). Some of these process data outside the UK, using safeguards approved under UK law. We share information with professional advisers or authorities only where the law requires.
4. How long we keep it
Enquiries that don't lead to work: up to 12 months. Customer records: for the life of the agreement and 6 years after, for tax and legal reasons. Prospect contact details: until you ask us to stop, or 12 months after last contact.
5. Cookies
We don't use advertising or tracking cookies. Any analytics we use are cookie-free and don't identify you. If we ever add cookies that need your consent, we'll ask first.
6. Your rights
You can ask to see, correct or delete your information, object to how we use it, ask us to restrict it or move it, and ask us to stop contacting you. Email jakesutton@fanboundsupport.com. We reply within one month.
7. Complaints
Please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
